Who we are looking for

Do you love order, keep an overview of many topics, and ensure everything runs smoothly with your structured, pragmatic approach? Do you already have experience in the office or operations area, have a solid basic understanding of IT, and enjoy working hands-on? Then we are very much looking forward to meeting you!

As an Office Manager, you will be our central point of contact for organizational, administrative, and operational matters. You will ensure efficient office processes, maintain clean processes and structures, and be responsible for the areas of Office Management, Finance, and IT. You will also support the planning and implementation of team events.

What you will do

Office Management:

  1. Point of contact for the facility management of our coworking space
  2. Creative contribution to a pleasant working atmosphere
  3. Organization and continuous optimization of office infrastructure (space planning, furniture, renewals)
  4. Ensuring order in the office, including restructuring and decluttering
  5. Setup, maintenance, and updating of the inventory list (office furniture, home office equipment)
  6. Responsibility for mail management, including distribution and coordination with the respective teams
  7. Central point of contact for external service providers (e.g., maintenance, repairs, tradespeople)
  8. Coordination and organization of home office equipment for employees
  9. Organization and documentation of occupational safety measures (e.g., escape routes, first-aid kit, training, electrical inspections)
  10. Organization of orders and purchases for the office (e.g., fruit, snacks, drinks, office supplies)
  11. Plant care in the office

Finance & Administration:

  1. Point of contact for our tax advisor
  2. Monthly execution of preparatory accounting
  3. Invoice management with our accounting tools Spendesk and DATEV
  4. Point of contact for the innn.it team for financial questions
  5. Support with the annual audit
  6. Support with budget planning and control
  7. Research for process optimization, possibly introduction of new financial tools

IT & Infrastructure:

  1. Support in IT office support (e.g., orders, management of IT equipment, device setup, creation & maintenance of instructions)
  2. Onboarding and offboarding of team members
  3. Maintenance and updating of IT inventory

Event Management:

  1. Research and support in planning internal team events
  2. Participation in events with external guests

Requirements


What you bring

With your organizational talent, structured way of working, and hands-on mentality, you create the foundation for the team to work optimally. You ensure that our office is a functional, pleasant, and inspiring workplace.

  1. You have relevant experience in the office, operations, or administration area.
  2. You have very good organizational and structuring skills.
  3. You have basic knowledge in the technical/IT field.
  4. You work independently, reliably, and solution-oriented.
  5. You enjoy improving processes and taking responsibility.
  6. You enjoy working in a team, sharing knowledge, and developing yourself further.
  7. You enjoy communication within and outside the team.
  8. You have very good German and English language skills.
  9. You enjoy coming to the office at least 3 days a week.
