And we'd love for you to join our international team in Munich.

Aufgaben

As (Junior) Operations Manager you will:

  • get things done, whatever this may be. From processing all kinds of receipts, maintaining our credit card platform Pliant and our intern accounting Excel files, to handling our digital and physical folder system -- even if you have never done it, you are up for the challenge and want to learn how to run projects successfully from an operative and financial perspective
  • be the backbone of our day-to-day operations and make sure everything runs smoothly behind the scenes and ensure a well-organized, welcoming and productive workspace for team members and visitors
  • take ownership of our office operations: supplies, equipment, service providers and vendor coordination
  • coordinate meeting rooms including bookings, set-ups and general readiness
  • handle visitor management and be the first friendly face people meet when they come by
  • support internal events, team moments and office-related logistics
  • manage incoming and outgoing mail, deliveries and general post administration
  • keep an eye on all company expenses and make sure every transaction is accurately recorded and categorized
  • support vendor communication regarding invoices, payments and clarifications
  • help the team understand and follow correct processes for invoices and expense submissions
  • assist with HR-related administrative tasks (onboarding support, documents, general people ops topics)
  • continuously look for ways to improve processes, structure and efficiency across operations

Qualifikation

What we'd like you to bring:

  • first work experience in operations, office management, administration, HR or finance (agency experience is a plus, but not a must)
  • very good knowledge of Microsoft 365; experience with tools like Notion, Pliant, Datev or similar is a bonus
  • a structured, reliable and hands-on mindset: you like to take ownership and get things done
  • an eye for detail without losing sight of the bigger picture
  • confidence in juggling multiple tasks and priorities at the same time
  • a natural service mindset and strong communication skills
  • a genuine interest in how a creative agency operates beyond just one department
  • very good written and spoken German and English
  • and most importantly: you live and breathe agency culture and enjoy working with people
