About the role
This role is designed to support the smooth day‑to‑day running of our Berlin office and contribute to a positive employee experience. You will act as a key operational support for the Berlin office, working closely with our Operations team and reporting to our Office Manager in the Netherlands.
The role is hands‑on and focused on execution and coordination, offering the opportunity to build strong office management and operational skills in a dynamic, international SaaS environment.
What will you do
- Support the day‑to‑day running of the office, helping with office communications, mail, shipping, meeting room bookings, and general coordination tasks.
- Handle administrative and confidential communications with care and professionalism, under guidance when needed.
- Help maintain office documentation and shared spaces, such as the office handbook and shared drives, keeping information organized and up to date.
- Support office supplies and purchasing processes, including ordering materials, tracking requests, and assisting with invoice administration.
- Assist with facilities, safety, and security tasks, helping ensure the office is a welcoming, safe, and functional workplace.
- Support the employee experience in the office, including preparing workspaces for new hires, arranging travel, and responding to in‑office related questions.
- Help coordinate office events and team activities, gaining hands‑on experience in planning, logistics, and execution.
What we are looking for
- You're fluent in both German and English (written and spoken).
- You have up to 1 year of experience in a similar role (e.g., office coordination, office management, or hospitality).
- You feel comfortable working in an international and multicultural environment and enjoy daily interaction with different teams and stakeholders.
- You're proactive, organized, and hands‑on, with a willingness to take ownership of day‑to‑day office operations and follow things through.
- You work well in a dynamic environment with changing priorities, and stay calm, flexible, and solution‑oriented when things don't go as planned.
- You are based in (or able to commute to) Berlin, and open to working from the office up to 3 days per week as part of a hybrid setup.
- You are available to work 32 hours per week, with some flexibility around working hours when occasional urgent matters arise.

Recruitment process
In this role, you can expect the following interviewing process:
- 1st Interview with Internal Recruiter (45 minutes)
- 2nd Interview with Office Manager (45 minutes)
- 3rd Interview on-site with HRBP (60 minutes)
