WHERE YOU SIT

As our Office Assistant, you'll be part of the Admin team, working closely with brilliant people across the business and reporting into General Manager- Germany. You'll be right at the heart of fast-moving projects that shape how we show up for our consumers – today and tomorrow. This role is part time role- 25 hours.

WHERE YOU CONTRIBUTE

The Office Assistant provides essential administrative and organisational support to ensure the smooth running of the market office. This role is critical in maintaining day-to-day operations, supporting internal teams, and delivering a positive experience for employees and visitors. It contributes to efficiency and collaboration by managing office logistics, coordinating communications, and assisting with administrative tasks.

Core Accountabilities

  • Reception & Visitor Management: Act as the first point of contact for visitors; manage reception duties and ensure a welcoming environment.
  • Office Administration: Handle general administrative tasks, including filing, document preparation, and data entry.
  • Meeting Support: Schedule and set up meeting rooms; prepare materials and ensure technology is ready for use.
  • Travel & Logistics: Assist with travel arrangements for market teams, including booking transport and accommodation.
  • Event Coordination: Support organisation of internal events, team meetings, and social activities; manage logistics and catering.
  • Supplies & Facilities: Monitor and order office supplies; liaise with facilities teams to maintain a safe and efficient workspace.
  • Expense Processing: Assist with expense submissions and tracking in line with company policies.
  • Communication Support: Draft and distribute internal communications; maintain noticeboards and shared information spaces.
  • Health & Safety Compliance: Ensure adherence to local health and safety standards; support emergency procedures.
  • Ad Hoc Support: Provide assistance to leadership and teams on administrative projects as required.

Key Skills & Capabilities

  • Organisation & Time Management: Ability to prioritise tasks and manage multiple responsibilities effectively.
  • Communication: Clear and professional verbal and written communication skills.
  • Attention to Detail: High level of accuracy in administrative tasks and documentation.
  • Proactivity: Anticipates needs and takes initiative to resolve issues promptly.
  • Language Skills: Fluency in local language(s) and English is essential.
