Stellenbeschreibung
Your tasks:
- Provide administrative assistance to the Board members, including complex calendar and meeting management.
- Assist the Company Secretary in organising Board and Committee meetings and preparing governance documentation.
- Assisting with the preparation of meeting agendas and the documentation of minutes.
- Handle confidential corporate information with discretion and professionalism.
- Plan, organise, and execute corporate and executive events, such as Board dinners, strategy offsites, stakeholder visits, and internal leadership sessions.
- Manage logistics, including venue selection, catering, invitations, travel coordination, and on-site arrangements.
- Coordinate and book national and international travel.
- Support the Office Manager in general administration activities.
Your profile:
- Proven experience as a Personal Assistant, Executive Assistant, or Office Manager, ideally within a financial services or corporate governance environment.
- Exceptional organisational, communication, and multitasking abilities.
- Strong interpersonal skills and ability to engage with senior stakeholders with professionalism and tact.
- Event planning and coordination experience --- from logistics to delivery --- in a corporate or executive setting.
- Strong IT skills: Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), SharePoint, and digital collaboration tools.
- Discretion and commitment to confidentiality.
- Proactive, adaptable, and solutions-oriented mindset.
- Fluent German and English skills, with the ability to communicate clearly and confidently in both languages.
