Your tasks:

  • Provide administrative assistance to the Board members, including complex calendar and meeting management.
  • Assist the Company Secretary in organising Board and Committee meetings and preparing governance documentation.
  • Assisting with the preparation of meeting agendas and the documentation of minutes.
  • Handle confidential corporate information with discretion and professionalism.
  • Plan, organise, and execute corporate and executive events, such as Board dinners, strategy offsites, stakeholder visits, and internal leadership sessions.
  • Manage logistics, including venue selection, catering, invitations, travel coordination, and on-site arrangements.
  • Coordinate and book national and international travel.
  • Support the Office Manager in general administration activities.

Your profile:

  • Proven experience as a Personal Assistant, Executive Assistant, or Office Manager, ideally within a financial services or corporate governance environment.
  • Exceptional organisational, communication, and multitasking abilities.
  • Strong interpersonal skills and ability to engage with senior stakeholders with professionalism and tact.
  • Event planning and coordination experience --- from logistics to delivery --- in a corporate or executive setting.
  • Strong IT skills: Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), SharePoint, and digital collaboration tools.
  • Discretion and commitment to confidentiality.
  • Proactive, adaptable, and solutions-oriented mindset.
  • Fluent German and English skills, with the ability to communicate clearly and confidently in both languages.
