About this job
I am Milena Richter, founder of HerzKlar Business (HKB). We relieve coaches, self-employed consultants, and solopreneurs of all administrative and customer-related processes - so they can concentrate on their core business.
We work with coaches, solopreneurs, and self-employed individuals who need order in their customer processes and/or want to scale with a clear growth focus through process relief.
You will either take over our basic package (core administrative tasks; needs and goals of our clients: more focus, professional appearance, less chaos.) or our premium package (solid process relief including extended growth support; needs and goals of our clients: increasing visibility, preventive management, strategic research).
Tasks
- Organize customer appointments for closing conversations (lead qualification usually via email/DM, fix appointment). Possibly organize introductory calls.
- Simple and advanced calendar management: enter, move, cancel appointments, check for double bookings, consider time zones. Possibly block focus times/breaks, report overloads, plan according to energy levels.
- Follow-up: Follow up after closing conversations, track offers, send closing emails with feedback requests. Possibly follow up on "maybe leads", follow up on no-shows.
- Onboarding: Welcome communication, send access data, work through checklists.
- Offboarding: Closing emails, CRM archiving.
- CRM maintenance: Update leads/customers, set status, add notes.
- Reminders for tasks/documents for existing customers.
- Organize testimonials: send requests, follow up, format.
- Research: compare tools/software, find events/podcasts, market analyses (fact-based, tabular), among others.
- Email follow-up: Check unanswered emails and remind.
Qualification
- Structured, self-reliant way of working - you deliver reliably and on time. You work efficiently and solution-oriented. You are eager to learn and implement.
- Clear, confident, customer-oriented communication (email, DM, tools like Calendly/CRM).
- Affinity for consulting and personal development, as well as the modernization of traditional industries.
- Technical understanding (e.g., Google Workspace, CRM like ActiveCampaign, calendar tools) as well as quick comprehension and willingness to learn.
- Experience in virtual assistance/remote work, administration, or customer service is an advantage, career changers are welcome. Professional experience in various industries is also an advantage.
- You are willing to take on leadership responsibility.
