About the Role
This role is crucial for managing our event pipeline, which includes 25-35 events annually, ranging from roundtables to large conferences. You will handle all aspects of event operations, from initial correspondence to post-event follow-up, utilizing AI as a primary tool.
What You'll Do
- Manage email communications with event organizers regarding speaker slots, booth logistics, ticket codes, deadlines, floor plans, badge information, and visa paperwork.
- Schedule and coordinate prep calls with speakers and moderators, ensuring all confirmations are received.
- Handle event registrations, RSVPs, and side-event invitations.
- Liaise with partner organizations for co-marketing efforts.
- Maintain and execute event checklists, tracking pending and confirmed items.
- Review and approve event-specific materials (banners, badges, handouts) drafted by AI or freelancers, ensuring they meet brief requirements before printing.
- Collect post-event photos and assets for repurposing.
- Trigger and review AI-drafted follow-up communications.
- Maintain a communications tracker for each event to provide team visibility on correspondence and status.
What You Bring
- Professional and confident written English communication skills (near-native C1-C2 level).
- Exceptional organizational skills, with the ability to manage multiple tasks and deadlines effectively.
- Proactive approach to identifying and resolving issues.
- Comfort working in a dynamic startup environment with evolving priorities and processes.
- Ability to constructively address ambiguity.
- Proven experience managing multiple stakeholders or workstreams in parallel (events, project coordination, etc.).
- Familiarity with project management tools like Asana or Notion is a plus.
- German language skills are welcome but not required.
- Proficiency or strong curiosity in using AI tools (e.g., Claude, ChatGPT) for drafting, summarizing, and reviewing content.
How You'll Work With AI
AI is a core tool in this role. You will use it for drafting communications, summarizing information, formatting briefs, and reviewing outputs, always maintaining the final quality standard.
Practical Details
- Position: Working Student
- Hours: 15-20 hours per week
- Contract: 6-month initial contract, with potential for extension
- Location: Hybrid preferred (office in Berlin approx. once per week); fully remote considered for strong candidates.
- Start Date: As soon as possible
- Language: English (near-native C1-C2) required.
