About relAI

The Konrad Zuse School of Excellence in Reliable Artificial Intelligence (relAI) is one of three renowned, DAAD-funded AI schools in Germany. relAI, a joint project of TUM and LMU, serves as an international beacon for education and research in Artificial Intelligence in Germany. With our constantly growing network of international AI centers, non-university research institutions, and leading industry partners, we currently support around 100 Master's students and doctoral candidates on their journey. Our goal is to open up excellent career paths in science and industry for talented junior scientists from all over the world and to actively shape the future of AI. The coordination office of this school is embedded in the infrastructure of the Munich Data Science Institute (MDSI) - an integrative research institute at the Technical University of Munich (TUM) with an interdisciplinary and cross-faculty focus in the areas of Data Science, Machine Learning, and AI.

Your Responsibilities

  • Independent organizational planning, event management, execution, and follow-up of gatherings such as retreats, workshops, celebrations, as well as virtual, hybrid, and in-person modules of our programs (various formats and degree programs)
  • Independent design of the school's organizational processes, e.g., room planning, technical setup, organization of the supporting program, and communication with service providers (e.g., for locations)
  • Support for Master's and doctoral students with international backgrounds in English and German, i.e., assistance with the application process and starting work in Germany, on-site support before and during events
  • Communication with lecturers for organizational preparation and follow-up of courses
  • Creation, structuring, and maintenance of documents, e.g., participant documents and certificates
  • Management, organization, and budget monitoring and documentation of project funds for various school partners
  • Project-related financial administration (including qualified review, interface function, system-based mapping in SAP)
  • General office organization and appointment coordination
  • Visitor support

Your Profile

  • You have a business/commercial apprenticeship or knowledge acquired through comparable professional experience.
  • You have already gained initial professional experience in organizing events.
  • You master your tasks responsibly, with a high degree of initiative, commitment, and organizational talent, and with attention to detail.
  • You always maintain an overview when dealing with a multitude of parallel projects, tasks, and contacts, and you complete your assigned tasks independently and routinely.
  • Service orientation is a matter of course for you, and you are characterized by your strong communication skills and professional demeanor towards clients, lecturers, colleagues, and service providers.
  • You are tech-savvy and have very good knowledge of all common MS Office products and financial accounting (SAP), as well as experience with CRM systems and video conferencing tools.
  • You have fluent English and German language skills, as well as teamwork skills and high flexibility.
