Ihre Aufgaben
We're looking for an organized, proactive, detail-oriented Office Manager (full-time or part-time) to support leadership and the team with a wide range of administrative tasks.

Administrative Support
- Support leadership and team with day-to-day admin tasks
- Maintain data and employee records (vacation, sick leave, etc.)
- Help organize internal workshops and meetings
- Send communications (letters, gifts, internal updates)
- Assist with LinkedIn content and website updates
- Support contract documentation and maintain internal records
Invoicing & Finance Support
- Manage incoming and outgoing invoices
- Track payments and follow up where needed
- Upload and manage invoices in Workday
- Support vendor invoice processing
Reporting
- Partner with accounting to support monthly reporting
- Help ensure smooth month-end processes
Information & Reporting Support
- Provide reports and insights to management
- Maintain employee data and respond to internal requests
Recruitment & Onboarding
- Support hiring processes (initial screenings)
- Help onboard/offboard employees
- Coordinate equipment and system access
- Ensure smooth employee setup
Payroll Coordination
- Work with payroll on employee changes (salary, benefits, absences, etc.)
Event Planning
- Organize team events (seasonal events, team dinners, birthdays, etc.)
Office Management
- Manage office operations (mail, supplies, travel bookings)
- Maintain hardware inventory
- Work with IT vendors

Ihr Profil
- Prior office/admin experience (ideally in a corporate or professional services environment)
- Must be fluent in English
- German
- Strong communication and organizational skills
- Able to multitask and manage multiple priorities
- Proactive, self-starter mindset
- Strong MS Office skills (Excel, Outlook, PowerPoint, etc.)
