Since 2020, zetcom group AG has been part of the Culture Software Group, which offers fully integrated and consistently digital visitor experiences in the cultural sector with its employees.\n\n## Your Role\n\nTo strengthen our Project Office Team (PMO), which coordinates all product implementations in the cultural sector and manages our cross-location project portfolio, we are looking for a Project Office Coordinator (m/f/d, permanent, 80-100%) at our Berlin or Bern location starting February 1, 2026.\n\nIn this role, you will be an important link between sales and product delivery, centrally involved in preparing our projects. In the PMO team, you will prepare resource planning and keep our planning data up-to-date. You will enable our project managers to have a smooth project start through administrative preparatory work:\n\n### Your Responsibilities\n\n* Accepting and checking all incoming customer project orders and maintaining the order book\n* Managing customer dialogue during order preparation\n* Tracking tasks between us and our clients during project initialization\n* Maintaining project data for resource planning and project scheduling\n* Preparing regular planning meetings and conducting coordination discussions with clients (order clarification)\n* Creating project summaries for project managers (handovers)\n* Performing basic setup procedures for projects (e.g., setting up Jira and Confluence, permissions, file sharing, commissioning new application instances)\n* Monitoring the process of data provision by our clients and subsequent data analysis\n* Supporting ongoing projects as a project assistant if needed\n* Improving project templates and documentation, and simplifying PMO processes\n* Administering user management in the Atlassian Suite\n* Supporting new team members during onboarding by demonstrating tools, documentation, and procedures\n\n## Your Qualifications\n\nThis role is broad and can be taken on by beginners in project business as well as project professionals. Central to this role are the will and the ability to drive the success of project teams through commitment and support.
