Our team works at the intersection of meteorology, aviation, and environmental engineering. We collaborate with research institutions, aviation partners, and government programs across multiple countries.

We are seeking a reliable Remote Program Coordination Assistant to support daily administrative operations and help maintain smooth coordination across our international projects.

Role Overview

This position provides administrative and coordination support to the CST leadership team. The role focuses on organizing communications, maintaining project documentation, and supporting operational workflows in a small and dynamic technical organization.

The position is fully remote but must operate primarily within the Central European Time Zone (CET/CEST) to align with company operations in Germany.

The role will initially require approximately 10--20 hours per week , with potential for expansion as projects grow.

Key Responsibilities

Administrative Support

  1. Manage calendars and coordinate meetings across multiple international time zones
  2. Assist with scheduling calls with partners, clients, and research collaborators
  3. Maintain organized communication records and meeting notes
  4. Assist with travel planning and meeting logistics

Documentation & Information Management

  1. Maintain organized document folders and proposal files
  2. Assist with formatting reports, proposals, and presentations
  3. Track document versions and maintain orderly project documentation
  4. Ensure documents are stored in the correct locations within the company archive

Operational Coordination

  1. Maintain task tracking for internal projects and deliverables
  2. Coordinate communication with suppliers, partners, and collaborators
  3. Track administrative aspects of equipment shipments and logistics
  4. Support preparation of technical and business proposals

Research & Information Gathering

  1. Conduct light research related to travel, suppliers, regulatory frameworks, or project context
  2. Assist in compiling background information for feasibility studies and project proposals

Qualifications

Required:

  1. Strong written and spoken English
  2. Experience with remote administrative work or project coordination
  3. Excellent organizational skills and attention to detail
  4. Ability to manage multiple tasks and maintain structured documentation
  5. Comfortable working with Microsoft Office / Excel / Word / PowerPoint
  6. Reliable internet connection and remote work environment

Preferred (but not required):

  1. Experience supporting engineering, aviation, scientific, or technical teams
  2. Familiarity with project coordination tools or task tracking systems
  3. Experience working with international teams

Working Arrangement

  1. Fully remote position
  2. Primary working hours aligned with CET / CEST time zone
  3. Approximately 10--20 hours per week initially
  4. Flexible schedule within standard European business hours
